Scenario 1 — First touch, never spoken.
"Hi {first name}, this is {your name} from {company}. I noticed {specific trigger} and thought there might be a fit with what we do for {peer companies}. If worth 10 minutes, give me a call back at {number}. Thanks {first name}."
Scenario 2 — Reference / mutual connection.
"Hi {first name}, this is {your name} from {company}. {Mutual connection name} suggested I reach out about how we help {category} firms with {problem}. If you have 10 minutes, call back at {number}."
Scenario 3 — After an email or LinkedIn touch.

Scenario 4 — Breakup voicemail.
"Hi {first name}, this is {your name} — last try, then I'll stop. If this is not a priority right now, just let me know and I'll get out of your inbox. Otherwise, call me at {number} or reply to my last email. Thanks {first name}."
Common voicemail mistakes
Mistake 1: Too long. Anything past 30 seconds gets cut by listening fatigue or modern voicemail apps that auto-summarise.
Mistake 2: Generic intro. "I'm calling because we help companies like yours improve their sales process" — the recipient hangs up mentally at second 5.
Mistake 3: No callback details. Leaving "I'll try again" instead of a number is a missed opportunity. Always include a callback.
Mistake 4: Mumbling the name. Modern voicemail transcription captures clearly-spoken names. Slurred names disappear in the transcript.
Mistake 5: No email follow-up. Voicemails that are not followed up by email convert at half the rate of those that are.
The follow-up email
Always send an email within 30 minutes of leaving a voicemail. Subject line: "voicemail follow-up" or "tried you just now" — direct.
Body: 30 words. Reference the voicemail. Add the value point again. Provide the callback option and the email reply option.

Timing tactics
Best times to leave voicemails:
- 8:30–9:30am local — before meetings start.
- 4:30–5:30pm local — wrapping up day, less likely to be busy.
Worst times:
- Lunch hours (12–2pm).
- Mid-morning (10am–12pm) — peak meeting times.
- Late Friday afternoon.
For UAE & KSA teams
- Arabic-language voicemails for non-tech buyers lift callback rates substantially.
- Saudi senior buyers often listen to voicemails attentively — older phone culture is intact.
- Mention prayer times respectfully. "I'll call back after Asr" demonstrates cultural awareness.
- WhatsApp voice notes are an alternative channel after first contact. Send a 30-second voice note instead of leaving a phone voicemail; many GCC buyers respond more readily.
- Friday afternoon voicemails are dead. Save for Sunday morning in KSA or Monday morning in UAE.
